How to export your student data as a CSV

A clean CSV is the fastest way to get your school live on Enrolio. Choose your current platform below and follow the tailored steps.

    Exporting your core lists (students & customers)

    Your most critical data — active students, parent contact details, and birthdays — can be pulled directly from the reporting section.

    • Log into Class Manager and click the chevron to the right of Reports.
    • Search for the specific report you need (e.g. click Active Students to get your current roster).
    • If you need targeted groups, apply filters (like specific seasons or age brackets) before downloading.
    • Click the Download as or Export button at the top right and select CSV.

    Exporting your class & season structures

    To ensure you don't lose your schedules, lesson records, or full class lists, you can export by Season:

    • Click the chevron to the right of Classes in the main menu, then select View All.
    • Select your current, active Season.
    • Click the Download as button and choose CSV. This will export the structure and student assignments for that entire block of classes.
    • (Optional) If you need a highly detailed attendance or lesson-by-lesson register for a specific class, navigate into that class, head to the Lessons tab, and click Download term register.

    Exporting your billing & invoice history

    If you need to move outstanding balances or financial history into your new software:

    • Click the chevron to the right of Reports and select Billing.
    • If your new software integrates easily with standard bookkeeping data, choose either the QuickBooks Invoice Export or Xero Invoice Export report. Even if you aren't moving to those specific platforms, these formats provide an exceptionally clean, line-by-line breakdown of your invoicing.
    • Use the date filters to capture the exact financial timeframe you need, then click Export CSV in the top right corner.

Best practices for transferring to your new system

  • Do not modify the column headers immediately
    Keep the original Class Manager CSV files backed up safely before you start changing them.
  • Format mapping
    When uploading the CSV files to your new system, you will use a tool called a "Field Mapper." You will manually tell the new system: "Match Class Manager's 'First Name' column to our 'Student First Name' field."
  • Clean up data first
    A system migration is the absolute best time to delete duplicate test accounts or fix misspelled email addresses before they touch your new software.
  • Need a bulk database backup?
    If you have an exceptionally large amount of historic data or files you cannot find via the reports dashboard, reach out directly to Class Manager Support (hello@classmanager.com). They can sometimes generate a comprehensive SQL database backup or a compiled ZIP folder for enterprise accounts.

What a good CSV looks like

Each row is one student. Common columns to include:

  • Student first name, last name, date of birth
  • Parent/guardian name, email, mobile number
  • Class(es) enrolled, day/time
  • Billing rate or fee plan
  • Allergies / medical notes (if any)
  • Emergency contact
